Identify the equipment and purpose of the visit
Say whether you want a routine maintenance visit or have a specific heating or cooling problem. Include equipment type, approximate age and the date of the last service if known. A maintenance request should not hide a repair concern: describe any symptoms so the recipient can explain the appropriate visit scope.
Compare what the tune-up includes
Ask for the inspection and maintenance tasks included in the quoted visit, how many systems it covers, and whether supplies or replacement items cost extra. Find out whether you will receive written findings and which tasks require separate approval. Avoid treating an advertised visit price as an all-inclusive repair agreement.
Review optional plans separately
If a recurring service plan is offered, request its visit frequency, included equipment, fees, renewal terms and cancellation process in writing. Keep that decision separate from any repair recommendation. Ask which work is optional now and what evidence supports any proposed repair.
